carl for events — the AI colleague | nnexoro

carl does the work between the work. He fills shifts and briefs the crew. The AI colleague between office and team. Lets the day run smoothly.

I staff
your weekend,
in minutes instead of hours.

carl asks the whole pool at the same time, instead of working a list from top to bottom. Gate, meeting point, accreditation and dress code go out with every acceptance.

What carl takes on

Request a consultation

Three levels, one process. carl fills the shift, briefs the crew and secures the hours — before the crew drives home.

The shift gets filled, not broadcast

carl asks the whole pool at the same time, filters by qualification and rest period and stops the moment the position is full.

The crew knows where to go

Gate, meeting point, dress code, contact person: all of it with the acceptance, not broadcast into a group.

The hours are in on the same day

Check-in, check-out, break automatically. No timesheet on the Monday after.

fills the shift

knows where to go

has the hours

Your pool isn’t
too small.

You just can’t reach it fast enough. Those are exactly the minutes carl gives you back.

Three events over the weekend, four hundred positions, and the requirement changes 36 hours before. Whoever asks first gets the yes.

carl asks the pool in minutes, backfills the drop-outs and sends out what applies this time with every acceptance.

Your systems

A drop-out at 5:40 on build-up day

Two crew drop out, and the loading bay slot closes at seven.

Take a build-up in hall 7: eight stagehands scheduled, two call in sick at twenty to six in the morning. Phoning down a list one by one reaches hardly anyone at that hour — and the slot gets tight.

carl asks the whole pool at the same time, sends whoever says yes the gate, meeting point and contact person, registers them for accreditation and documents the shift while it runs.

carl asks the pool in parallel

14 people at the same time, instead of a list from top to bottom.

carl asks 14 people from the pool in parallel

Build-up at Messe Köln, hall 7. Two stagehands have dropped out, start 07:00. You put yourself down for the weekend, could you do today as well?

Two out of 14 answer, Melike first

A yes with one tap. And with that it’s documented.

carl registers her and sends the gate with it

Accreditation, meeting point, contact person. Without a call back to the office.

carl registers her and applies for accreditation

You’re on. Your pass is at the crew entrance, gate 2. Meet at 06:45 with crew chief Tarek, 0171 9948120. Crew car park P4, the permit is with the gate steward.

A question just before setting off

The question the crew chief usually gets called about.

what do i need to bring?

carl answers out of your briefing

Kit, safety briefing, time window: with the source.

Safety boots and long trousers are on you, helmet and hi-vis you get at the container. The safety briefing with Tarek is at 06:50. Without it you’re not allowed into the hall.

Open briefing

carl starts the clock at the gate

One tap instead of a timesheet. From here the clock runs.

carl starts the time recording

Tap check-in as soon as you’re at the crew entrance. Your time runs from then on.

06:47 noted. Safety briefing with Tarek at 06:50, then hall 7.

carl reminds her 15 minutes before

No forgotten check-out, nothing to write up on Monday.

carl sends the check-out reminder

Your shift ends in 15 minutes according to the plan. Tap check-out as soon as you’re done.

carl works out the break automatically

Calculated instead of guessed, and confirmed in one tap.

carl works out hours and break

07:00 to 14:15 is 7.25 hours. Over six hours, so 30 minutes of break deducted: 6.75 hours. Does that fit?

The record is filed, with the worker too

The client can countersign, payroll has the hours.

carl writes the timesheet

Check-in 06:47, check-out 14:15, 6.75 hours net. The safety briefing is signed off, the immediate notification went out first thing this morning. It’s with the client for countersigning, and here with you.

The requirement is in. carl asks the whole pool.

Trigger: new event in scheduling

carl turns the requirement into shifts, filters by qualification, availability and distance and asks every suitable person at the same time. Whoever says yes is booked in as soon as you approve.

Change of requirement

The client changes the requirement, 36 hours before the event.

Trigger: changed requirement from the client

carl matches the new requirement against the acceptances you already have, asks for what is missing and fills the gaps without losing the people who already said yes.

Partner agency

Your own pool isn’t enough. carl hands it to the partner agency.

Trigger: your own pool isn’t enough

carl hands the job to the partner agency and sends the position requirements and documentation duties with it. He follows up when the name list or the timesheets are missing.

Gets the request in the chat, says yes with a tap, has gate, meeting point and dress code to hand and reports the hours at the end, no login, no second app.

Plans with carl: match qualification, availability and working-time limits, ask everyone in parallel and take the same route again to backfill a drop-out.

Crew chief on site

Sees who is coming and who is still missing, reports overruns and incidents into the chat and doesn’t have to keep attendance lists on the side.

Project management

Sees how each shift and location is staffed, hears about gaps early and doesn’t have to run after the paperwork.

Gets the job, the position requirements and the documentation duties in one package and sees exactly what belongs to that job.

Back office & payroll

Gets complete hours, breaks and records ready for invoicing, instead of typing up handwritten notes and checking them three times over.

Fragen

Does carl replace our scheduling software?
No. CrewBrain, Timecount, Staffcloud or zvoove stay exactly where they are. carl sits on top: he reads the requirement, coordinates around it and writes acceptances, hours and records back. Scheduling stays the system of record.
What does carl do differently from a broadcast to the pool?
A broadcast sends a message. carl has a conversation: he asks the ones who fit, answers their questions, follows up with the ones who don’t reply, and stops the moment the position is filled, so five people don’t end up keeping the same shift free.
Does carl know our working-time limits?
Yes. Maximum working hours, the break scale and the eleven hours of rest are all stored. Anyone who was derigging until two last night doesn’t get suggested for the early shift. And when a shift runs long, carl flags what that means for the next day.
Does carl keep the 70-day limit for temps in mind?
carl warns as soon as someone is running towards the limit, and flags it to scheduling before they get booked in. What he can’t know is previous work for other employers. Those count too, and they still have to be asked about. carl asks the question, he doesn’t answer it.
Can we bring in partner agencies without giving them access to our systems?
That is exactly what it is built for. The partner agency works in the chat and only sees its own job, no client relationship, no prices, no parallel jobs. They need no system access, you need no licence for them.
Does carl keep track of which certificates are expiring?
Yes. § 34a competence certificate, instruction, safety briefing, A1 and criminal record check all have an expiry date that today usually sits in an Excel column. carl checks before anyone is booked in, flags what is about to run out and requests it in good time.
Do our temps have to install an app?
No, and with people who work ten days a year that is the decisive point. carl runs in WhatsApp. No download, no password, no onboarding appointment. Partner agencies are hooked up the same way, in minutes.
What do the works council and data protection say about it?
Roles and permissions are firmly defined and open to inspection, carl collects consent from every user before the start, hosting is in Frankfurt. carl is not a performance monitoring system, and if it helps we come along to the meeting and show exactly what he sees and what he doesn’t.
How fast are we live, and does it stop the running season?
Four weeks, alongside operations: workshop day, we build, pilot with one event. No installation, no migration, no big bang. The rest of scheduling carries on unchanged.
